1. Overview

This Subscription & Refund Policy governs all purchases made through Song Vitals, operated by PANARCHIA LLC. By making a purchase, you agree to the terms outlined in this policy.

Song Vitals operates on a credit-based system where analysis modules are purchased using credits. Credits can be obtained through one-time purchases, bundles, or subscription plans.

2. Pricing and Payment

2.1 Credit Pricing

Current pricing (subject to change):

  • Individual Credits: $3.49 per credit
  • Full Report (6 credits): $14.99 (equivalent to $2.50 per credit)
  • Creator Mode (Monthly): $19.99/month for 18 credits (equivalent to $1.11 per credit)
  • Creator Mode (Annual): $15.99/month billed annually for 18 credits/month (20% savings)

2.2 Payment Methods

We accept major credit cards, debit cards, and other payment methods as displayed at checkout. All payments are processed securely through our third-party payment processor, Stripe.

2.3 Currency

All prices are listed in United States Dollars (USD). If you are paying in a different currency, the amount will be converted at the current exchange rate by your payment provider.

2.4 Taxes

Prices do not include applicable taxes, duties, or fees. You are responsible for any taxes, duties, or fees imposed by your jurisdiction.

2.5 Price Changes

We reserve the right to modify our pricing at any time. Price changes will not affect:

  • Credits already purchased
  • Active subscriptions until their next renewal date

We will provide at least 30 days' notice before any price increase for subscription plans.

3. Credit System

3.1 How Credits Work

Each analysis module costs 1 credit. The six available modules are:

  • Audio Diagnostics
  • Lyrics & Writing Analysis
  • Brand & Identity Fit
  • Content Strategy
  • Fan Building & Community Momentum
  • Monetization & Revenue Potential

3.2 Free Credits

New users receive 3 free credits upon account creation. These credits:

  • Are automatically added to your account upon registration
  • Expire 12 months from the date of account creation if unused
  • Cannot be transferred, sold, or exchanged for cash
  • Are limited to one set per user (duplicate accounts are prohibited)

3.3 Purchased Credits

Credits purchased individually or as part of a bundle:

  • Do not expire
  • Are non-refundable once used
  • Cannot be transferred to another account
  • Cannot be exchanged for cash

3.4 Credit Usage Order

Credits are consumed in the following order:

  1. Free credits (oldest first)
  2. Subscription credits (current month's allocation)
  3. Purchased credits (oldest first)

4. Subscription Plans

4.1 Creator Mode Subscriptions

Creator Mode subscriptions provide 18 credits per month. Available billing options:

  • Monthly: Billed monthly at $19.99/month
  • Annual: Billed annually at $191.88/year ($15.99/month equivalent, 20% savings)

4.2 Subscription Billing

Subscriptions automatically renew at the end of each billing period unless canceled. You will be charged on the same day each month (monthly plans) or year (annual plans) as your initial subscription date.

4.3 Credit Rollover

Unused subscription credits roll over to the next month as long as your subscription remains active. Rolled-over credits:

  • Accumulate without limit while subscription is active
  • Are forfeited upon subscription cancellation
  • Cannot be converted to purchased credits
  • Cannot be refunded

4.4 Subscription Changes

You may upgrade or downgrade your subscription at any time:

  • Upgrade: Takes effect immediately; you'll be charged a prorated amount for the current period
  • Downgrade: Takes effect at the next renewal date; you retain current plan benefits until then

4.5 Free Trial (if applicable)

We may offer free trials for subscription plans. Free trial terms:

  • Limited to one per user
  • Automatically convert to paid subscription unless canceled before trial ends
  • May be canceled at any time during the trial period without charge

5. Cancellation Policy

5.1 How to Cancel

You may cancel your subscription at any time through your account settings or by contacting support at billing@songvitals.com.

5.2 Effect of Cancellation

When you cancel your subscription:

  • You retain access to subscription benefits until the end of your current billing period
  • You will not be charged for subsequent billing periods
  • All accumulated subscription credits are forfeited at the end of the billing period
  • Purchased credits (non-subscription) remain in your account
  • You can reactivate your subscription at any time

5.3 No Partial Refunds

Canceling your subscription does not entitle you to a refund for the current billing period. You will continue to have access until the period ends.

6. Refund Policy

6.1 General Policy

All sales are final. Due to the digital nature of our Service and the immediate delivery of analysis results, we generally do not offer refunds for purchased credits or completed analyses.

6.2 Exceptions

We may issue refunds in the following exceptional circumstances:

  • Technical Errors: If a technical error prevented you from receiving your analysis report
  • Duplicate Charges: If you were charged multiple times for the same purchase
  • Unauthorized Charges: If your payment method was used without your authorization
  • Service Failure: If we were unable to deliver the Service due to our fault

6.3 Refund Request Process

To request a refund:

  1. Contact us at billing@songvitals.com within 7 days of the charge
  2. Provide your account email, transaction ID, and detailed explanation
  3. We will review your request and respond within 5 business days
  4. If approved, refunds are processed within 10 business days to your original payment method

6.4 Subscription Refunds

Subscription charges are non-refundable except:

  • If you cancel within 48 hours of initial subscription purchase and have not used any credits
  • If we made a billing error
  • If required by applicable law

6.5 Chargebacks

If you initiate a chargeback or payment dispute:

  • Your account may be immediately suspended pending resolution
  • We may provide evidence to your payment provider to contest the chargeback
  • Fraudulent chargebacks may result in permanent account termination
  • We encourage you to contact us first to resolve any billing issues

7. Failed Payments and Account Suspension

7.1 Payment Failures

If a subscription payment fails:

  • We will attempt to charge your payment method up to 3 times over 10 days
  • You will receive email notifications about the failed payment
  • Your subscription will be suspended if payment cannot be processed
  • Accumulated subscription credits will be forfeited after 30 days of suspension

7.2 Reactivation

To reactivate a suspended subscription:

  • Update your payment method in account settings
  • Pay any outstanding balance
  • Your subscription will resume with a new billing cycle

8. Promotional Offers and Discounts

8.1 Promotional Credits

We may offer promotional credits or discounts. These:

  • Are subject to specific terms and conditions
  • May have expiration dates
  • Cannot be combined with other offers unless stated
  • Are non-transferable and have no cash value

8.2 Referral Programs

If we offer a referral program, terms will be specified in the program details. Abuse of referral programs (creating fake accounts, self-referrals) will result in forfeiture of credits and potential account termination.

9. Enterprise and Custom Plans

Custom plans for studios, labels, or high-volume users are subject to separate agreements. Contact us at enterprise@songvitals.com for custom pricing and terms.

10. Right to Modify Service

We reserve the right to:

  • Modify, suspend, or discontinue any part of the Service
  • Change the number of credits required for specific modules
  • Add or remove features from subscription plans
  • Modify subscription benefits with 30 days' notice

Material changes that negatively affect existing subscribers will be communicated in advance, and you may cancel your subscription if you disagree with the changes.

11. Account Termination

If we terminate your account for violation of our Terms of Service:

  • All credits (purchased and subscription) are forfeited
  • No refunds will be issued
  • You may not create a new account without our permission
